Automation that handles the busywork.

We build automations that read and answer enquiries, fill cancellations, write follow-ups and documents, and pull your reports together. The routine stuff runs on its own, and your team only steps in where they're needed. Every setup is built around how your business works. We test it on your real work and show your team how it runs before anyone relies on it. Z&Z Partnership is in Logan, and we build these for practices and businesses right across South-East Queensland.

Speed wins work

Slow replies cost you work.

An automation can reply in minutes at 11pm on a Sunday and answer what the person asked. The tricky ones still go to your team.

What we
automate.

The repetitive jobs that add up to hours every week. If it follows the same steps each time, it can usually run on its own.

  • 01

    Enquiries

AI reads every enquiry and replies fast, even at 9pm, before they move on to someone else. Anything it can’t answer goes to the right person with a summary.

  • 02

    Scheduling

Cancellations filled from your waitlist, and appointments matched to the right person and the right length of time.

  • 03

    Follow-ups

Follow-ups that read like you wrote them, because they’re built from what the client said.

  • 04

    Data entry

AI reads forms, emails and documents as they arrive and puts the details into your practice system, accounts and calendar.

  • 05

    Documents

Notes or a voice memo become a tidy letter, file note or quote in your format. You check it, then it goes.

  • 06

    Reports

A short written note each week on what changed and what needs your attention, so nobody has to dig through a spreadsheet.

One enquiry, start to finish.

Example: a new patient enquires at 9:47pm on a Tuesday. Nobody's at the desk.

  1. 9:47pm

A new patient enquiry lands on your website.

  2. 9:47pm

AI replies straight away and answers their questions.

  3. 9:48pm

It offers appointment times from your real calendar.

  4. 9:52pm

They book. Their details and forms go into your practice system.

  5. 7:00am

Your team starts the day with a new patient booked. Nothing to chase.

One example. Yours would be built around how your business runs.

What it could look like

What it could look like for you.

A dental practice

Now

  • A cancellation at 8am leaves an empty chair, and nobody has time to ring around.
  • Treatment plans get presented, then nothing happens because the patient had questions nobody followed up.
  • The morning huddle means someone printing lists from three different screens.

With automation

  1. When someone cancels, AI works through the waitlist for patients who need that length of appointment with that dentist, offers the spot by text and books whoever says yes first.
  2. Patients who haven’t booked their treatment plan get a personal message explaining it in everyday words, drafted from the dentist’s notes, and AI answers their follow-up questions.
  3. Every morning the team gets a one-page huddle: who’s in, unbooked treatment, outstanding balances and who’s due for X-rays, pulled together automatically.
  4. When a patient’s reply after their visit mentions a concern, AI flags it to the practice manager straight away. Everyone still gets the review link.

A physio or allied health clinic

Now

  • Practitioners spend their lunch break writing notes, GP letters and home programs.
  • Patients stop halfway through their plan, and nobody notices for weeks.
  • Insurer and WorkCover progress reports take an evening each.

With automation

  1. The practitioner talks for 30 seconds after the session. AI turns it into the clinical note, the GP letter and the patient’s home program, ready to check.
  2. AI spots patients who’ve dropped off their plan and sends a check-in in the practitioner’s voice. If someone mentions more pain, it’s flagged straight away.
  3. Progress reports for insurers are drafted from the session notes, in the format each insurer wants.
  4. Your top referring GPs get a short monthly update on how their patients are going.

A small law firm

Now

  • New enquiries sit in the inbox until someone has time to read them and run a conflict check.
  • Clients ring to ask where their matter is up to, and a lawyer stops to answer.
  • Time gets recorded on Friday afternoon, from memory, and some of it never makes it in.

With automation

  1. AI reads each new enquiry, pulls out the parties, checks them against your client list and has a conflict report and draft reply waiting for the lawyer.
  2. When a matter moves forward, AI drafts a clear update for the client. The lawyer approves it with one click.
  3. At 5pm, AI suggests the day’s time entries from your emails, calls and documents, with narrations written. You approve or tweak.
  4. Key dates from contracts and court documents go straight into the right calendars, with reminders for the whole team.

An accounting or bookkeeping practice

Now

  • Tax time means opening every client upload to work out what it is and what’s still missing.
  • Bookkeepers code the same kinds of transactions by hand every month.
  • Clients ask questions their file already answers, and someone has to look it up.

With automation

  1. Clients upload their documents. AI reads and labels each one, compares it with last year, and tells the client exactly what’s still missing.
  2. AI codes routine transactions and flags anything unusual for the bookkeeper to check.
  3. Client questions get a draft reply built from their own file and the relevant due dates, for the accountant to approve.
  4. Each month, clients get a one-page summary of how their numbers moved, written from your accounting data.

An electrician or plumber

Now

  • Quotes need a site visit just to find out what the job actually is.
  • Job notes, invoices and tomorrow’s material order all happen at night.
  • Quotes go quiet, and the follow-up never happens.

With automation

  1. Customers send photos. AI reads them, asks the right follow-up questions (switchboard age, access, which room) and builds a draft quote with your rates.
  2. A voice memo on the drive home becomes the job notes, the invoice lines and tomorrow’s material order.
  3. Quotes that go quiet get a follow-up that answers the questions the customer actually asked.
  4. Each morning, every tradie gets their run sheet with addresses, access notes and what the customer said.

The step up

An AI brain
for your business.

One automation on its own can save hours. An AI brain links them all up. We connect AI to your documents, systems and processes until it understands how your business runs, then build your automations on top of it. We run Z&Z on one.

  • Knows your procedures, templates and policies, so every automation works the way your business does
  • Powers all your automations from one place, so they share what they know
  • Answers your team’s “how do we…” questions in seconds
  • Gets sharper as your business adds to it

How we build it.

You'll know what each automation does, what it costs to run and how to switch it off.

  1. 01

    Map

We sit with you and write down how the job happens today, step by step, including the annoying bits.

  2. 02

    Build

Then we pick the right tools and build it to fit the way your team already works.

  3. 03

    Test

Before anyone relies on it, we run it on your real enquiries, quotes and bookings. Anything that matters gets checked by a person.

  4. 04

    Hand over

We train your team on how it works and what to do if it doesn’t, then stay a phone call away.

Automation questions

Still wondering about something? See all questions or ask us directly.

Will we have to pay for new software?

Sometimes. We choose the tools that fit how your practice or firm runs. If something new is worth paying for, your plan shows why and what it costs each month, before anything is set up.

Can AI help me write quotes?

Yes. Customers send photos, or you record a voice memo on the drive home, and AI turns it into a tidy draft quote in your format, with your rates. When a quote goes quiet, it can write a follow-up that answers what the customer actually asked. You still check the numbers before anything goes out.

Will AI replace my staff?

That's not what we set it up for. It takes the admin, follow-ups and data entry. Your people get time back for the work customers notice. So rather than replace them, it supports them.

What is an automation, exactly?

A set of steps that runs by itself when something happens, with AI doing the reading, writing and judgement in between. When a patient cancels, for example, AI looks through the waitlist for patients who need that length of appointment with that dentist and offers them the spot by text. Whoever says yes first gets booked. We build each one around how your business runs. The step up is an AI brain that powers them all from one place.

Where do most businesses start?

With a question. In the free chat we learn how your business runs, then build a plan around it. For a dental practice that might be an AI voicemail receptionist to answer the calls the front desk can't get to. A law firm could start with new enquiries read and conflict-checked before a lawyer opens them, and an accountant with client documents sorted and chased at tax time.
